Job Profile:
The person assigned to this role should be a person of mature Christian character, with proven leadership capabilities and a clear calling and commitment to the Vision, Mission, and Strategic Focus of Youth for Christ. They must demonstrate competency in the development, execution, and supervision of administrative systems. They should be able to think and act strategically, with a proven history of taking initiative and working well with a team. They should also have excellent communication skills, both oral and written, and exceptional analytical and organizational abilities. Previous training and experience in administration is recommended. Fluency in English is required and proficiency in at least one of the following languages - Spanish/Portuguese/French - is recommended.
Responsibilities:
YFC SERVICE RELATED (40%)

Play a key role in the recruitment of staff and volunteers (vetting and due diligence process), in cooperation with the Americas Area Director, for the development of the Americas Area Leadership Team and the operation of the Americas Area Office.

Work in strategic partnership with Americas Area Leadership Team.

Support fundraising campaigns with the Americas Area Leadership Team.

Develop and maintain a formal relationship with the Americas Area national YFC programs, primarily through the National Director and the National Board, (through the Board Chairman), in order to improve communications with the Americas Area office.

Assist the Americas Area National Boards and National Directors in timeliness with Charter documents.

Communicate clearly YFCI policies, standards, plans, requests, news, and updates to the Americas Area national programs, upon request of the Area Director.

Be a conduit for information flowing from the nations in the Americas Area to YFCI for global publications.

Help to ensure optimum representation from the Americas Area national programs at YFC International General Assemblies, Area and Regional meetings.

Plan on some travel, both for service related (Americas Area Leadership Team meetings) and administrative purposes.

Get involved with young people in both informal and formal settings, as part of YFC's mission to reach "every young person."
ADMINISTRATIVE (30%)

Schedule and keep record of regular meetings with the Americas Area Director to coordinate calendars, trips, team meeting agendas, and communications to the Americas Area Leadership Team and the nations.

Take minutes of Americas Area Leadership meetings.

Ensure care and control of the Americas Area Office - following up and filing meeting minutes, team projects, team travel reports, and financial records.

Learn and/or delegate the operation of programs such as Microsoft Office, Publisher, MailChimp, Google Docs, Dropbox, and web management to facilitate the communications of the Americas Area Office.

Develop clear communication lines between the Americas Area Director and the nations through various means - writing and responding to emails, booking virtual appointments, publishing monthly Area bulletins, and booking travel to the nations.

Create and annually update a three year Strategic Plan for overall development of the Administrative Assistant to the Americas Area Director role.

Engage any administrative staff and volunteers required to accomplish assigned responsibilities.

Submit an annual budget for office operations to the Americas Area Director and the Sending Nation Supervisor and operate within the financial limits approved by both.

Submit quarterly reports to the Americas Area Director and the Sending Nation Supervisor and complete an annual review with each of them.
REPORTING RELATIONSHIPS (5%)

Report directly to the Americas Area Director for operations and the Sending Nation Supervisor for logistical support through quarterly reports and an annual review.

Supervise any staff and volunteers that may fall under the authority of this role.
PERSONAL MINISTRY PARTNER DEVELOPMENT (15%)

Secure and maintain a sound base of prayer & financial partners to a level sufficient to fund the salary, benefits and expenses of this position as agreed upon with the Americas Area Director and the Sending Nation Supervisor, in accordance with the policies of YFCI.

Communicate regularly with Ministry Partners
SPIRITUAL AND PERSONAL DEVELOPMENT (5%)

Spend time in spiritual reflection and development (Bible study and prayer) as expected and take annual spiritual retreats as able.

Attend YFC conferences as expected.

Attend relevant training and enrichment courses as able.

Maintain active participation in a local church.

Seek to balance the role of Administrative Assistant to the Americas Area Director with family and other personal aspects of life.
